Events on the IUPUI campus requiring multiple resources from the university are called "special events." This process if managed by the IUPUI Event & Conference Services department. A committee of individuals reviews each application and makes a decision on the event. This process takes four weeks to complete (please plan accordingly).
What is a special event?
A special event for student organization is any event that meets the following criteria:
- Food Fundraising
- Outdoor Event
- Large Scale Event (~>250 individuals)
- Political Event
- As required by the Office of Student Involvement
What is on the special events application?
The special events application is online. The application asks a range of questions dealing with the following topics:
- Food and Beverage
- Portable Toilets
- Trash Removal
What is the process for approving our special events application?
The student organization submits the special events application. Then each committee member will contact the individual who submitted the application if they have any questions. This process takes four weeks to complete. It is important to respond to any committee member, as your application can not be approved until all questions are answered.
Do student organizations need to complete anything in addition to the special events application?
Yes! Each student organization who submits a special events application will need to complete an activity form!
My application was approved but my event date changed, what do I do?
If you have changed an event date from the origional application in the special events process, please contact Event and Conferencing Services at 317-274-2702. Remember, that this process does not change room reservations, only special events notification!
