Will there be food?
Having food at an event can be a complex endevor. The Office of Student Involvement requires student organizations to work with two campus partners when having an event that involves food:

That's great! There are many exciting ways to host events without incorperating food or beverage.
Will your event involve physical activity for the participants/volunteers?
Having participants engage in physical activity for an event can be a healthy and enhancing experience for the program. Anytime you ask participants to engage in this type of program there are certain risks associated with this.
The Office of Student Involvement has worked to develop waiver templates to help minimize the risk for you executive board, advisor, and student organization. All student organizations are required to submit a waiver template for approval if any participants or volunteers will be engaging in physical activities prior to their event being approved by the university.
Additionally, your organization will be required to complete a risk worksheet for the event.
While your participants may not be engaging in physical activity, there may be risks associated with volunteers for this event. For more information about waivers for student organizations check out our website.
Will you contract with a non-university entity?
While IUPUI offers many benefits and services for student organizations, sometimes the needs of an event require a third party vendor. It is important to note that the university is not liable for any financial debts of the student organization. When you are planning for your event, we encourage you to review all contracts carefully, as you (or your advisor) may be financially liable.

Will your event require police/security?
Safety is a top concern for IUPUI when student organizations plan programs/events. If you anticipate your event needing security or IUPD presence to maintain a safe and welcoming atmosphere please take a moment and complete the IUPUI special events application.

Will your event require parking services?

Will anyone under 18 be at your event?
Beginning in the pring 2013 semester, IU implamented a policy regarding events involving individuals under 18 years of age.
If your event is involving individuals under 18 years of age, you are required to register the program. For information on how to register your program with IU Protect, please click here.
All student organization events involving individuals under 18 years of age will be required to complete the IUPUI special events application.

Is your event involving policital figures or government officials?
IUPUI is a state institution. To that end, there are specific guidlines and requirements if your program is involving government or political officials.
All events will need to complete an IUPUI special event application.

Will money be collected at your event?
While IUPUI does not handle the financial transactions for student organizations, there are policies and procedures that must be followed regarding money. Please check out our website for more information.
